1. Booking and Payment:

  • All Pilates sessions must be booked in advance through our booking system or by contacting the studio directly.

  • Payment for sessions is required at the time of booking to secure your reservation.

  • Please note that we do not offer refunds. Instead, a credit will be allocated to your account, which must be used within one month.

  • The client agrees to pay all applicable fees by the due date. If a payment is declined, the client will be notified and will have three days to resolve the issue.

  • The client acknowledges that B. Reformer Pilates may, at its sole discretion, amend the prices for goods and services. 

2. Session Attendance:

  • Clients are expected to arrive promptly for their scheduled sessions.

  • Late arrivals may result in reduced session time to accommodate subsequent appointments.

  • In the event that an instructor falls ill and is unable to conduct a scheduled session, clients will be promptly notified of the cancellation. A credit equivalent to the session fee will be applied to their account for future use. We strive to inform clients as soon as possible to minimise inconvenience and appreciate your understanding in such circumstances.

  • B. Reformer Pilates does not operate on bank holidays. For sessions scheduled on these days, a credit will be added to the client's account to be used within one month.

3. Cancellation Policy:

  • Clients must provide a minimum of 24 hours' notice for cancellations or rescheduling to receive a credit for the session. The client can do this on the Gymcatch app under ‘Manage Bookings’.

  • Cancellations made with less than 24 hours' notice will result in forfeiture of the session fee.

  • No-shows will be charged the full session fee.

4. Memberships and Pricing:

  • Members of our studio subscribe to a rolling membership, whereby they are automatically charged their membership fee on the day they sign up and every 4 weeks from then on. This is done via Gymcatch/Stripe (a secure system). Payment will continue unless notified of a termination request in writing (see below about membership cancellation).

  • The minimum term for any membership is four (4) weeks. This means that once you sign up for a membership, you agree to maintain your membership for at least four (4) consecutive weeks. Early termination of the membership prior to the completion of this minimum term is not permitted and will not result in any refund of fees paid. After the initial four (4) week period, the membership will continue on a rolling basis until you choose to cancel, subject to 2 weeks notice.

  • The membership fee grants access to 1 session per week over the member’s specific 4-week billing period. If the client does not use the allocated 4 classes during that time, these credits will expire and the client cannot use them in subsequent weeks. 

  • It is the member’s responsibility to know their billing cycle dates and therefore book their membership class credits within these dates. If you're experiencing difficulties booking online, please don't hesitate to contact us, and we'll be happy to assist you.

  • All memberships are rolling and will automatically renew. Although they appear as 6-month memberships on Gymcatch, this is not accurate.

  • Membership fees and other fees are reviewed periodically. The client will be given 14 days' notice of any changes via the email provided.

  • The client agrees to pay the membership fees outlined below, applicable to their selected membership plan: £180 per month for 1:1 sessions (one regular time slot per week) and £100 per person per month for 2:1 sessions (one regular time slot per week).

  • Drop-in prices are as follows: £50 per session for 1:1 sessions and £28 per person per session for 2:1 sessions.

  • If the client wishes to cancel their membership, a 2-week notice period is required. Please provide this notice in writing by emailing b.reformer.pilates@gmail.com.

  • If a membership is cancelled midway through the term, no refund will be provided for any unused portion of the membership. Instead, clients are encouraged to use their remaining credits to book and attend classes during the remainder of their membership period. This policy ensures that clients can fully utilise the benefits of their membership even if they decide to cancel before the end of the term.

5. Studio Etiquette:

  • Clients are requested to wear appropriate attire suitable for Pilates sessions. 

  • Grip socks are mandatory for all sessions. If you don't have a pair, they are available for purchase at the studio.

  • Clients are required to arrive promptly for their scheduled appointments. Timeliness is essential to maintain the integrity of our class schedules and to ensure that all participants receive their full allocated time for instruction and practice. Failure to arrive on time may result in a shortened session or forfeiture of the appointment slot. 

6. Health and Safety:

  • Clients are responsible for informing the studio of any injuries, medical conditions, or pregnancy prior to participating in sessions.

  • Clients with health concerns should consult with a medical professional before participating in Pilates sessions.

7. Equipment Use:

  • Clients are expected to use studio equipment responsibly and follow instructions provided by instructors.

  • Any damage to studio equipment due to negligence will be the responsibility of the client to cover repair or replacement costs.

8. Personal Belongings:

  • The studio is not responsible for any lost or stolen personal belongings.

  • Please ensure to secure personal belongings in designated areas provided by the studio.

9. Photography

  • During classes, the Instructor may record sessions for quality control and promotional purposes. If you do not wish for video or still images taken during the class to be used for promotional purposes, please notify the instructor in writing.

  • By signing this agreement, all parties grant permission for B. Reformer Pilates or any licensed provider to use their image for marketing purposes.

10. Liability Waiver:

  • Clients participate in Pilates sessions at their own risk and acknowledge that B. Reformer Pilates and its instructors are not liable for any direct, indirect, or consequential injury, loss, or damage to the person or property of any participant during sessions at B. Reformer Pilates.

11. Privacy:

  • The client agrees that B. Reformer Pilates may collect, store, and use their personal information. This information will only be accessible to B. Reformer Pilates staff, primarily to ensure the health and wellbeing of our clients.

12. Changes to Terms and Conditions:

  • The studio reserves the right to amend these terms and conditions at any time. Clients will be notified of any changes in advance.

13. Governing Law:

  • These terms and conditions shall be governed by and construed in accordance with the laws of England and Wales.

By booking a session with our studio, you acknowledge and agree to abide by the above terms and conditions.
